It processes your agency data to provide contextual suggestions, runs on secure infrastructure, you control what data FloAI can access, all suggestions are editable before finalizing. You can disable AI features anytime. You review all AI-generated content before it's sent to clients. We don't train models on your specific data without permission. AI processing happens within our secure infrastructure. Your data is not shared with third-party AI providers without consent. AI-generated outputs are your property. You remain responsible for reviewing AI outputs before use.

Privacy Policy

Privacy Policy

We collect and use your data to run AgencyFlo. This policy explains what we collect, why we collect it, and what rights you have. We don't sell your data. We don't use it to train AI models without permission.


Account information: name and email address, company name and role, password (encrypted), billing information. Usage data: features you use, pages you visit, time spent in the platform, browser type and device info, IP address and location data. Content you create: projects and tasks, client information, time tracking entries, documents and files, meeting notes and transcripts, contracts and proposals. Communication data: support emails, in-app messages, feedback and feature requests. Automatically collected data: cookies and similar technologies, log files and error reports, performance and analytics data.

Why we collect it: To provide the service (create and manage your account, process payments, enable collaboration with your team, sync data across devices, provide customer support). To improve the platform (analyze usage patterns anonymized, fix bugs and performance issues, develop new features, test and optimize user experience). To communicate with you (service updates and announcements, security alerts, billing notifications, product updates if you opt in). To keep things secure (detect and prevent fraud, monitor for abuse, maintain platform security, comply with legal obligations).

AI processing: FloAI processes your data to provide intelligent suggestions, processing happens on our secure infrastructure, we don't share your data with third-party AI providers without consent, you can disable AI features anytime. Analytics: we use anonymized data to understand platform usage, individual user behavior is not tracked beyond improving your experience, no personal data is sold to third parties. Marketing: product update emails (opt-in only), educational content (opt-in only), you can unsubscribe anytime.


We don't sell your data. Period. Service providers we share data with: hosting infrastructure providers, payment processors, email service providers, analytics tools (anonymized data only). All service providers are bound by strict confidentiality agreements. Legal requirements: we may disclose data if required by law (court orders or subpoenas, legal processes, protection of our rights, prevention of fraud or harm). Business transfers: if we're acquired or merge with another company, your data transfers with the business. You'll be notified of any ownership changes. With your permission: we'll share data with third parties only when you explicitly authorize it.


Security measures: encryption in transit (TLS/SSL), encryption at rest, regular security audits, access controls and authentication, employee training on data protection, incident response procedures. If a security breach affects your data, we notify you within 72 hours (GDPR requirement). No system is 100% secure. We do our best, but absolute security doesn't exist.

If we transfer data outside the EU/EEA, we use Standard Contractual Clauses (SCCs), adequacy decisions, or other approved mechanisms. Lodge complaints with your local data protection authority if you believe we've mishandled your data.


Data retention: active accounts have data stored while your account is active. Canceled accounts get 30-day grace period for reactivation, after 30 days permanent deletion, deletion is irreversible. Some data retained longer for tax and accounting (typically 7 years), legal compliance, dispute resolution. We may retain anonymized analytics data indefinitely.


Essential cookies required for the platform to function: authentication, session management, security features. Analytics cookies help us understand usage: page views, feature usage, performance metrics. Preference cookies remember your settings: language preferences, UI customizations, notification settings. Manage cookies in your browser settings. Disabling essential cookies may break core functionality. We respect browser Do Not Track signals for non-essential tracking.


AgencyFlo is not for children under 16. We don't knowingly collect data from children. If we discover we've collected data from a child, we delete it immediately.


You may connect third-party tools (Slack, Google Meet, etc.). Those services have their own privacy policies. We're not responsible for their practices. Our platform may link to external sites. We're not responsible for their privacy practices.


You're responsible for having legal basis to process your clients' data, complying with privacy laws in your jurisdiction, informing clients about data processing, obtaining necessary consents. Keep your information accurate and up to date. Protect your login credentials. Don't share your account.

We post updated policy on this page, email you if changes are material, give you 30 days to object, continued use means acceptance. If you don't agree with changes: stop using the platform, export your data, request deletion.
